Employee Payroll History 

The Payroll History feature allows for all employees to view all their current and past project's earning on one grid.  From this page, they can view their check copies and all timecards and Personal Info that are completed digitally.  Employees who are not currently working on a project that is utilizing digital timecards or startwork, can still be invited to the application to access their Payroll History, rather than the employee having to reach out to production for old pay stubs after the project has wrapped.  

To access the Payroll History, the employee has to be invited to the project and create their password (if they don't already have an account), then click PAYROLL HISTORY in the My Profile section on the left navigation.  On the Payroll History grid, from the Actions drop down menu, the employee can view their check copy, personal info, and timecard.  They can also click any items in blue on the grid to view the associated document.

Prefill Deal Memo

While onboarding for a project, production now has the ability to prefill a deal memo so that the employee need only approve the position and rate entered for them.  With this new digital startwork approval flow option, the user who would usually approve or reject the deal memo once the employee submits it, can instead complete all the fields on the deal memo and then the employee will be notified to approve.  

To prefill the deal memo, the employee has to be invited to the project then complete their Personal Info, their I9 and/or their W4.  After this has been submitted, click EMPLOYEES on the left navigation then click on the employee's name on the grid.  Click ADD in the Deal Memo section then complete all fields on the deal memo and click SUBMIT.  If your project is currently using digital startwork with the employee submitting the deal memo as the first step of the approval flow and you would like to use the prefill option instead, please contact support and we'll be happy to make this update for you!

Deal Memo Account Codes

When approving or prefilling a deal memo, the user will now have the ability to select from a drop down menu in the account codes fields.  The labor, fringe, box rental and other account fields will have a drop down menu.  Ensuring the employee's payroll transactions will be posted correctly to the GL, the drop down will pull accounts from the Chart of Accounts that is set up in the project in the accounting software.  If the project is not set up in the accounting software, the account code field will remain a free field that can be typed in. 

Signing the State Labor Law Form

We've simplified the workflow for completing the state labor law form!  Employees no longer need to log back in after their deal memo is approved to submit their state labor law form when working in NY or CA.  Instead, the deal memo approver will complete an additional field upon approving the deal memo and then the employee can simply click to sign the form from their project start work page or upon submitting their first timecard.

When approving or prefilling the deal memo, the user will complete an additional field at the bottom of the page that will appear when either NY or CA are the selected work state.  Once the deal memo is approved, the employee can sign the the state labor law form by going to their Project Start Work page then clicking SIGN STATE FORM from the Actions drop down menu to the left of their deal memo.  If the employee does not sign the state labor law form prior to submitting their first timecard, a window with their state form will open upon clicking SUBMIT on their first timecard and they can review and sign.
